5 things you should know before organizing a festival

Organizing a music festival is one of the most rewarding experiences for an event organizer: if everything goes well, the result can be very satisfying for both the audience and the organization team itself. See how people have a good time, share their experiences on social networks and come back to enjoy live music while singing at the top of their lungs to their favorite song. Who doesn’t like a festival?

However, there are several factors that can contribute directly to the attendees’ experience and that, of course, must be taken into account in the organizational process. Take note!

Inclement weather

Recently we experienced how a summer storm not only destroyed more than one festival and several events on the Costa Blanca, but, unfortunately for everyone, resulted in several casualties and one death. We are talking about the Medusa Festival, where a gale threw part of the stage structure against the audience.

For issues such as this, it is essential to know the weather forecast well and act with caution: it is always better to cancel or postpone a concert than to end up evacuating thousands of people and risking everyone’s safety.

Event security

And not only referring to the aspects mentioned above, but also to all the security involved in a large event with thousands of attendees: security at the entrances, control during the event, emergency points with medical personnel, security in the infrastructure or having a well-defined emergency plan for all kinds of incidents: remember the catastrophe in Madrid Arena or the tragedy in the Bataclan hall (Paris). Always be prepared for any event that may jeopardize the safety of the attendees and minimize the risk.

Social networks

Shifting to more banal aspects than the security of a festival, it is also interesting to consider the potential offered by social networks. With a good communication strategy, social media can skyrocket a festival’s brand. How? Offering not only a good poster, but also an attractive image and good communication management. One of the main ways to create engagement is to give your audience what they want, interact with them, create expectation…

A very good example of a good communication strategy in social networks is Rosalía with her Motomami tour. Singing for the first time and live a completely new song, ‘despechá’, she managed to viralize the song before even releasing it officially. And not only that, the artist has already released a live track on the platform where she is reaping the most success: TikTok. The trick? Rosalía knows her audience well, where they are and how to please them, so she squeezes out their potential to the max by creating her own memes, viralizing her music and getting everyone humming her music all the time.

Hire trained personnel

We have possibly reached one of the key points to ensure the proper functioning of a festival or concert: hiring competent staff. And to do so, it is important to look for personnel not only with experience, but also with specific training in music event management. This is the main objective of the Expert in Music Event Management: to train professionals with a complete knowledge of the operation of a festival or concert: sponsorship, staging, marketing, communication, record companies, hospitality… are just some of the many modules and topics covered by this degree.

In addition, multiple internships at various concerts and festivals prepare the students not only in theory but also in practice.

Contingency management

And here comes possibly one of the most complicated parts of any event and where the event manager has to bring out all his creativity and temperance to succeed. In a concert or music festival there are many unforeseen events that can occur, from the artist failing or suffering a live accident, to the bars running out of ice, to any security or weather problem that may arise, such as those mentioned above.
Imagine for a moment having to make important decisions whose results will affect thousands of people and having to make them immediately, sounds like a nightmare, doesn’t it? Therefore, one of the main characteristics of a good organizer is good contingency management. Absolutely every unforeseen event must have been contemplated by the organizing team and at least one possible solution must be offered.

As they say in the trade, even the unexpected has to be planned for!
