Associations increasingly committed to sustainability

Our sector is a set of groups that each have a different role, but that together create events… and that together generate an environmental or social impact. One change in recent years is that some of these groups have defined sustainability dialogues or commitments, with varying levels of specificity, but always with the will to improve things. We review some of these initiatives, although many other associations carry out responsible initiatives, such as the training of members that EMA is carrying out, or causes such as human trafficking supported by associations like SITE or MPI.

AFE: a decalogue and a sustainability roundtable

AFE (Spanish Trade Fair Association) published its decalogue in 2022, “a turning point for the sector’s trade fairs,” says its secretary general Juan Puchalt. Its main components? It advocates a communication effort (on its websites, headquarters, networks…) of its members’ commitments, energy improvements in its facilities and energy use practices, sustainable food practices, collective and sustainable transportation, circular economy in structures and carpets, accessibility, collaborations with NGOs and volunteers (taking advantage of the massive attendance that fairs represent), hiring criteria applying environmental and social criteria, and finally to reduce its carbon footprint. In fact, they have also joined the NetZeroCarbonEvents initiative.

NetZero Carbon Events, the most international initiative

This initiative, supported by more than 400 organizations in 55 countries, aims to make all events carbon-free by 2050. By the end of 2023, they will publish the roadmap for 2050, with an intermediate target of 50% by 2030. It is an initiative that applies to the entire value chain, with the idea of breaking down efforts by type of stakeholder. It has five main fields of action, including organizing events in an energy-efficient and green way or redesigning events to use materials.

IdeMice launches a decalogue for sustainable incentives

While this statement of intent from the incentive agency association emphasizes measures at the destination, it also speaks of commitment at home. It makes recommendations at the level of hiring more sustainable means of transportation (a key component of incentives), combating single-use packaging, hiring sustainable accommodations, more sustainable catering, reuse of materials, workers’ rights, and a key value provided by incentive travel: generating positive impact on the environment by encouraging participants to interact with local communities, with respect for local heritage. This local impact, together with the awareness of participants, is a key value of the incentives.

ADEAZA launches its best practices guide

ADEAZA highlights in its guide the importance of client relationships and the values that should govern these relationships: professionalism, integrity, excellence… The manual advises clients on variables to be taken into account when hiring a company (reputation, solvency, compliance with regulations…), on the difference between the client’s needs and the needs of the staffing company or on the specifications when drawing up a budget.

France defines a sector commitment

UNIMEV, the alliance of associations in the events sector in France, brings together 400 companies from the entire value chain of the events sector. In collaboration with the French government, it has defined an industry commitment focused on avoiding waste. The Decalogue details a series of commitments and circular design methods to be applied. An example of truly collective commitment, but also of prioritization of a few causes.

Figures by business segment

The catering segment is the most important, with a share of 88% of the total. The value of this market stood at 3.1 billion euros, 15% more than in the previous year. Within the mass catering business, educational establishments were the most dynamic demand segment, with an increase of 17.2% and a value of 1,055 million euros. Demand from the healthcare sector remained the most important, reaching 1,365 million euros (+14.7%), while business services increased by 12.2% to 505 million euros.

Air catering, on the other hand, was driven by strong growth in the number of passengers traveling by air. 220 million in 2022, 76% more than in the previous year.

After growing by 67%, high-end catering reached 200 million euros, in a context of a strong increase in demand for events and celebrations thanks to the lifting of restrictions following the pandemic.

Nearly a thousand companies

In 2022, the sector’s supply was made up of some 955 companies, which generated an employment volume of 75,000 workers. Both figures remained stable throughout the last fiscal year.

The solid position achieved by the main operators is reflected in the degree of concentration in the sector. In 2022, the top five had a combined share of nearly 45% of sector turnover, a percentage that was close to 60% when the top ten operators are taken into account.

10 event catering trends for 2023

Healthier and lighter food? Aesthetic plates of first visual impact? Well, it seems that yes, the attendees eat more through their eyes and that the healthy is what triumphs. Society has become more and more aware of the fact of eating better and healthier and, at the same time, the demand for vegetarian and vegan menus is increasing. We tell you what else you have to take into account this 2023 when setting up a catering service for your event.

Healthy menus and ingredients

What the customer demands and what triumphs are very healthy options, “fresh and careful presentation”, in the words of Life Gourmet. “There is an obsession with light, refreshing, not too hot food, whether for breakfast, lunch, dinner…” according to Medems Catering. In general, all the catering companies we have spoken to agree that this is what the client wants at events today. We at eventoplus also see it ourselves when we attend any event.

Many desserts, but healthier

Life Gourmet assures us that the trend is changing and sweet buffets are on the rise, but with individual formats. “Cakes also of different elaborations are on trend.” It seems that we will eat desserts with very little sugar where the fruit works by decorating and, above all, “illuminating the plate with sweet sensations but avoiding sugar,” for Medems. Coloring also with flowers? Cooklab assures us that they will use violet or lavender a lot this year in desserts and you only have to look at the photo they have sent us from AGA Catering…

Recipes from childhood

This year we will seek to maintain a link with our past that makes us feel good, as Artigot Catering and its premium line crea_tasting lab believe. . “One way to relive that past at an event is to incorporate flavors that are associated with fond childhood memories.” El Antiguo Convento is committed to the same idea: “the menus are traditional, renovated and adapted to the times we live in, fusing them in many cases with Latin and Asian flavors”. Or even African flavors, for Cooklab, which also talks about “vintage recipes with a twist focused on health and healthiness”.

Visually inviting

“Most are more attracted to the presentation and appearance of the food than the taste,” according to Artigot. That is why it will be important to work on this part this year. One idea advocated by Artigot, and applied in its premium line crea_tasting lab, is to use vertical food stations. “These showcases are very practical as they are not only fully customizable and modular, but also add depth and height to the display creating settings that are visually very appealing.” At Medems they opt for what they call “surprise trompe l’oeil: the dishes look like one thing and taste like another, looking for a surprising experience”. Cooklab, on the other hand, relies on “crunchiness” to amplify the sensations of the diner.

The presentation is very spectacular and eye-catching

For the Antiguo Convento Catering will be key this year and AGA Catering agrees that more and more importance is given not only to what is eaten but how and where. “Nowadays, people are fleeing from sober plating and are looking for colors and shapes that, without being aggressive, are eye-catching”. Medems talks about containers with different silhouettes, playing with the depth of the plate, where the food shines by its color and where in general the waiter adds a sauce or a cream interacting in different steps with the diner.

Increased demand for special diets

VOK DAMS (these Germans always ahead…) has already launched a vegetarian/vegan catering policy, systematically suggesting it as a first choice. And caterers here in Spain tell us that this year it will be important to take into account special diets because demand is growing, especially if there are international attendees, according to Medems. Allergies are also in the spotlight, with nuts and gluten leading the way. “We are already trying to reduce gluten and even dairy of animal origin (including milk, creams, creams, creams and cheeses)…. “as the Old Convent tells us. In this sense, we recommend you to be well informed prior to the D-day of all allergies and wishes of the guests.

Sustainability

It impacts catering in many ways. First of all, more and more organic, local and seasonal products are being requested (all caterers agree on this). What does this mean? “Well, if there are no plums in Spain in January, we don’t think about buying them in Chile or elsewhere,” according to Medems. This year, the assemblies will be more inspired by natural colors, with an important role being played by crafts and tableware, of course without plastic. Instead, materials such as metal, wood or ceramics take center stage. Surpluses have always been one of the concerns of catering and this year, it will also be necessary to measure the quantities in detail before preparation. Important for this: calculate attendance and reduce no-shows.

More customization

“What the client demands the most are tailor-made menus. The proposals must be and fit with the aesthetics of the event,” Life Gourmet explains. An example? Marking logos, for example, as we are told by AGA: “when we thought that marking logos on products was demodé, we find that now more and more corporate events want to opt for this way of giving visibility to the brand”. Also, for the Antiguo Convento, in the catering set-ups themselves, at the space and table level, they ask to transmit more the idea of the brand, the corporate colors or even the values, be it luxury, modernity, exclusivity, tradition…

More Spain brand

Menus that take into account the ‘Spain brand’ and the diffusion of Spanish gastronomy and the Mediterranean diet will be a trend this 2023 for the Antiguo Convento. In the tasting that Medems carried out at the beginning of the year, they told us that they were tasting wines from different appellations of not so conventional origins. “The aim is to make different D.O.’s in Spain known in order to give added value, fulfilling a mission of dissemination, recognition and visibility of other areas of Spain”. Cocktail bar

The cocktail bar becomes a staple. Caterers agree that more and more clients are demanding a cocktail bar at their events. Premium brands are positioned against basic brands. The party part has gained a lot of importance in the development of the event, for Life Gourmet. The Old Convent adds that sophisticated cocktails with a wow effect set-up is super trendy and AGA also agrees on the importance of Cocktails, as well as “barista coffees, craft beers or even kombucha are some of the requests that will step with out more and more at events”.

If you don’t measure your carbon footprint, how are you going to reduce it? The Conventa case

Once again Conventa gives us a small lesson in responsible management in terms of event sustainability. In partnership with Climate Partner and through a holistic management of all the processes involved in the realization of the fair, they managed not only to accurately measure the impact of the carbon footprint, but also to identify the high CO2 cost of transportation, which allowed them to reduce the impact by 8.9% compared to the 2022 edition. Not much of a joke, considering that the carbon footprint of this international event is comparable to that generated daily by 5,415 inhabitants of Germany and to traveling 387,129 kilometers by car, according to the organization’s own data. These are some of the lessons learned during the process.

Incorporates partners in the event design and measurement processes.

The calculation of the carbon footprint covers a broad spectrum of emissions. This year, the organizers made a great effort to collect data with the help of 19 partners. Gorazd Čad, co-founder of Conventa, noted, “The timely inclusion of partners in the carbon footprint reduction process was a must. A crucial tool for measuring the carbon footprint was our Green Manual, which has become something of a bible for sustainable event organization, as it offers a whole host of tips and practical measures. Every year we are able to achieve more with the help of the project partners, with whom we are gradually learning how to collect all the data to calculate the carbon footprint.”

Uses the data obtained for the optimization of subsequent events.

According to the organizers, the calculated carbon footprint can become an example for similar events. It will also enable Conventa to optimize future activities. In order to calculate the carbon footprint, it was crucial to collect accurate information on the transportation of attendees, hotels and activities.

This year’s calculation includes individual data from all attendees obtained through surveys. Thus, all measured data are accurate and reliable.

Identifies the most polluting activities and works to reduce the impact of these activities.

The organizers stressed that calculating the carbon footprint is only the beginning. The main objective of the calculation is to identify the activities that generate the most greenhouse gas emissions. Other steps and measures explained in the Green Conventa Manual are fundamental and are a practical guide for all event organizers and in brief, it comprises:

SUSTAINABLE CRITERIA: external recommendations for partners and subcontractors covering 15 segments of the event organization. Currently, the segments include 266 criteria.

SUSTAINABLE MEASURES: detailed annual measures that event organizers should implement and internal suggestions that will help event organizers prepare an action plan in seven segments.

Gorazd Čad explained the sustainable aspirations of the event: “A prerequisite for a sustainable transformation is a systematic approach, connecting all stakeholders and coordinating activities. To transform events in a sustainable way, organizers must make a transparent commitment, identify targets, measure their results and cooperate extensively. When organizing sustainable events, organizers must take a holistic approach and consider all aspects of an event. Above all, it is crucial to measure the carbon footprint of an event. If we don’t measure it, we can’t improve it.

Events as loudspeakers of change

Conventa is a great example of how events are part of the problem, but can also be part of the solution: the organizers stressed that Conventa is a facilitator and driver of change in the meetings sector in Ljubljana and the region.

It fosters positive development and is an ideal test laboratory for innovation to achieve sustainable and regenerative transformation. Organizers see Conventa not only as a means to achieve steady growth or reap multiplying financial rewards, but as a platform that generates prosperity for the event organizing community.

AEC launches new sustainability certification for caterers

The Catering Business Association, together with the Chamber of Commerce, has just launched a sustainability certificate for catering companies, which can be offered by entities to their clients “as a boost to competitiveness in this field of activity”. You can now request more information from the association because there are several options. Here is a brief summary.

In case you didn’t know since January of this year we have a new Food Waste Prevention Law, in our last issue of Magazine events special sustainability (which you can read here) we tell you this and more keys about sustainable catering.

What is the purpose of this certification just launched by ACS?

The purpose, according to the association, is twofold. “On the one hand, it responds to the growing need derived from the increase in social and environmental awareness among catering companies and customers, thus providing added value to professionals in the sector certified to this standard.

On the other hand, pre-defined criteria are provided to meet sustainability requirements at all stages of the productivity and service chain”.

Two certification options

They offer this service from two different alternatives: accompaniment and certification or only certification (for those organizations with the requirements already implemented).

4 legacy tools to work on sustainability at destination

How do you leave the city where an event is held better than it was before the event took place?

This question is increasingly being asked by event organizers, whose awareness of sustainability is constantly growing. Here are four perfect tools to get you started in legacy and make a positive impact on the site.

As we explained in our last magazine, generating legacy in the destination is one of the main challenges for event organizers today. Although it will not be an easy task, it is true that more and more tools in the form of associations, organizations or foundations are being made available to convention bureaus to work on it. Here are some examples of tools you can use to make your events leave a legacy at the destination.

#MEET4IMPACT

As destinations become more aware of the impact of the legacy, new organizations have emerged to accompany them on their journey. This is the case with the non-profit #MEET4IMPACT, a collaborative project designed with the vision of transforming the events industry. This will be achieved by generating a movement to create a positive impact with its actors and events. Its mission is to help organizations and communities define, manage, measure, communicate and maximize positive social impact through events.

Flanders has already benefited from their support: its convention bureau is working with the organization to develop a strategy for legacy creation and impact measurement, with which they will try to guide the region’s events agenda over the next two years. Their fields of expertise will be the starting point of a conference roadmap with broader legacies and concrete impacts, working on four specific event cases.

GDS

Sustainability “seeks to mitigate the negative effects that our activity generates on people and the planet,” says GDS Senior Changemaker, Impact &Events, Beatriz Ibáñez. Ibanez’s company’s acronym refers to the Global Destination Sustainability Movement, the platform specializing in identifying or helping to create “thriving places and communities enabled by tourism and regenerative events.”

From this movement, they annually launch one of the most important global rankings on sustainability, in which the 30 most experienced cities in this area are evaluated: the GDS-Index. Of the three categories in which destinations are awarded, one Spanish city is in the top three in the ranking of destinations that have improved the most with respect to previous editions in 2022, winning the bronze medal: Barcelona.

The development of this index uses a methodology based on 70 criteria, both qualitative and quantitative, which evaluates four key areas of each destination’s sustainable performance: the city’s environmental strategy and infrastructure, its social sustainability performance, support for industry suppliers, and the destination’s management organization strategy and initiatives.

Ship2B

The Ship2B Foundation is another great initiative that has emerged in the quest to generate legacy, although in its case, working from the companies at the destination. Their mission is to drive the impact economy: they seek to promote change, inspire, generate knowledge and valuable connections through the Ship2B Impact Forum. This annual event – which in its last edition was attended by more than 400 business leaders, investors and administrations – seeks to drive an impact economy where businesses, in addition to being profitable, contribute intentionally and measurably to solving societal and planetary challenges.

Eventsost Key

In addition to providing information on how to organize a sustainable event, countries and cities can have their own tools to monitor the sustainability level of events. Without leaving the city of the Pilarica, Zaragoza CB works with Eventsost Key, a digital platform that offers organizers instruments for sustainable events: a carbon footprint calculator, a database of resources or a list of the most sustainable suppliers in the city, among other tools.
