A transformative element has burst onto the growth path of contemporary technology: the metaverse. It has also attracted the attention of investors and companies. It is true that the “virtual world” represented by the metaverse is still taking the first steps of the many to come, but at great speed and with an aspiration of almost exponential growth.

Soon, one of the most sought-after assets in the metaverse will be the “virtual space” to build, i.e., digital land where it will be possible to “build” homes, buildings for different purposes, leisure centers, recreation centers and many more. And also places to locate offices, meeting places and to develop events. What is now an unused space will be available for rent and sale in a few years.

Benefits of planning and holding events in the metaverse

The possibility of holding events in the metaverse opens up an enormous range of possibilities for organizations, companies and institutions. Having a presence in the virtual world, in addition to being able to organize events in it, brings numerous advantages. Among others:

Link the corporate brand to the development line associated with technological innovation.

Positioning as leaders in the digital transition strategy.

Save a considerable number of resources, which would be essential in a physical event but are not necessary in the metaverse.

Reach a potentially global audience by eliminating physical or geographic barriers.

“Decentralize” the processes – of which an event can be a part – in the same way as can be done with production or management.

Open a window of opportunity towards the internationalization of the activity.

Increase or settle security and responsible data transfer policies since, in the metaverse, one of the main technologies -the blockchain- is inextricably associated with both concepts.

In order to take advantage of the possibilities of the metaverse and take advantage of these benefits, organizations and companies must start acting now. Either by acquiring assets in the metaverse in order to exploit them later, as mentioned above, or by taking into account the strategic development path in the metaverse in their medium- and long-term plans.

As is the case with the general public and the set of users of the various metaverses, executives – or at least those responsible for this strategic line – need to understand and be fluent in the technologies that operate and will operate in the metaverse: blockchain, cryptocurrencies, NFTs, avatars, virtual reality headsets, etc.

And, in the same way, analyze and bet on the implementation of existing solutions to gain a foothold in the metaverse today. To have a “virtual headquarters”, to organize events in the metaverse that raise awareness of the brand and/or its products – albeit with the limitations of a developing technology – to sponsor or finance gaming events in the metaverse and, above all, to identify and take advantage of the trends that will be commonplace tomorrow and that will turn the metaverse into yet another arena in which to compete.

The immersive Museum of Dreamers lands in Madrid

It’s no secret that immersive experiences are all the rage. More and more spaces are betting on offering a service that is not only enjoyed with the view, but also stimulates the 5 senses. Behind each of the installations, there is also a motivational message designed to encourage visitors to follow their dreams. How? Through swings in the sky, a ball pool among palm trees or even through a door that gives direct access to the moon.

The audiovisual trends we saw at ISE: immersive environments

After several articles in which we have broken down some of the most important trends in the audiovisual sector, we close this series on technological elements that we saw at ISE talking about immersion.

To be able to enter a world where anything is possible, to get into a painting, to move to a new galaxy… Who hasn’t dreamed of it at some point? Immersive environments, while no longer a novelty in and of themselves, enable this and much more. Immersion continues to be on trend, as we saw at ISE 2023. So much so that more and more museums have one of these spaces or opt for this type of format in all their rooms.

As Epson explains, for the experience in these environments to be as complete as possible, the sensations and emotions of the attendee must be maximized. The way to do this varies according to the space available to generate it.

Event rooms

In immersive event rooms – environments dedicated exclusively to the realization of such events, which are transformed with the help of video projection technology – the projectors are already fully installed and synchronized. This allows the room to be completely transformed in a matter of seconds into a different place thanks to the dynamic digital image.

This is the case of spaces such as Madrid Artes Digitales or Palacio Neptuno in Madrid. The first of the aforementioned spaces is made up of 43 high brightness (12,000 lumens) Epson video projectors with laser light source, combined with short distance lenses and installed with site mapping and software intervention for immersive space recreation.

But don’t think that these spaces are the only way to create an immersive environment for your event. The flexibility of the video projectors and the linkage with ultra-short-throw lenses makes it possible to bring an immersive presentation to any booth or ephemeral location.

Trade shows and pop-ups are event formats where creating an immersive experience is therefore possible, as EPSON demonstrated. During the last edition of the ISE fair, they had an immersive space of 100 m2 with Gaudí’s work as the theme. The immersive projection occupied walls and floor. For this purpose, 20,000 lumens projectors and ultra-short-throw lenses were used, from 9 units installed on trusses to project the entire environment with powerful images linked to the stand’s storytelling.

What is the future of hybrid and virtual events? Conclusions of the Tech meeting

We are aware that by now you know that face-to-face events are back and that they are the first choice of most companies and brands when it comes to choosing a format for their meetings. However, we cannot forget that, for two years, virtual and more recently hybrid events have allowed us to continue our activity despite the restrictions. That is why we have met with some colleagues from software companies and apps for events, to know at what point are these types of events and delve more about what and how technology can bring to our industry.

The participants in this virtual meeting were: Miquel Fortuny from Shocklogic, Alex Barbero from Eventscase, José Luis Fernández from evenTwo, Jonathan Ysaye from TechForMICE, Marcos Eguillor from Vidiv, José Aguilera from Xpansion digital, Charlie from Redtorres, Robert Masana from eTechSuite and Fernando from Le Monnier.

Events are back stronger than ever and as we have seen, we are in a moment of positivism, with a year full of activity at the end of the year. After so many restrictions, face-to-face is the jewel in the crown, as people want to see each other and share a few drinks face-to-face. However, virtual and hybrid events have not completely disappeared. We sat down with some representatives of technology companies to get a first-hand look at the current situation.

What is a hybrid event?

Surely before considering whether to hold a face-to-face, virtual or hybrid event, we should be clear about the characteristics of each. In this sense, the format that can cause the most confusion is the hybrid format, even among the professionals who work with it, there are certain discrepancies. What is clear is that they are events that combine a face-to-face part with a virtual part, but it is more complicated than that. As Marcos Eguillor of Vidiv says, when we had to move to virtual and hybrid events, most people wanted to take their in-person events and move them to the digital realm, but these events require their own codes and language.

“A hybrid event is not a physical event relayed by any technological solution, it needs to make certain adaptations,” he says. In addition, there are other aspects to take into account such as duration, content or interaction; in this sense, for Alex Barbero from Eventscase, it is essential to have “a two-way relationship to be able to talk about a hybrid event, otherwise it is just a streaming”.

Hybrid as insurance

However, although for them interaction is a fundamental part that must be taken into account, they find that many times the virtual part of an event is understood as a back up. As José Luis Fernández of evenTwo tells us, in his case they receive few requests for hybrid events and in many of them they see it as an insurance in case the on-site event should fail in any way.

“Attendees who come to the on-site event are like VIPs, they have access to the whole experience, while those who connect remotely can only access streaming and little else (although the platform offers them more possibilities),” he says. Charlie de Redtorres agrees with him, stating that in hybrids “the possibility that those who are remote can participate live is being restricted, only to see the streaming”.

After the ’rubbing fever’… what is the situation for 2023?

The opinion of this meeting is unanimous: face-to-face events are the first choice. Looking ahead to 2023, they foresee that there will be more face-to-face and larger events, however, José Aguilera of Xpansion digital, is confident in stating that: “the hybrid event or streaming will return, either by crisis or budget cuts”. In this sense, there are companies that see these formats as an ally for certain types of events, especially short training sessions, press conferences or events where internationalization is a priority (although they are also being used for congresses, fairs and large-format conferences). Beyond the economic aspect, there are other factors that determine the format that companies choose and these are the objectives. In this sense, Jonathan Ysaye of TechForMICE, believes that it is necessary for companies to work with a medium-term planning that defines the formats of the next 5 events according to their objectives.

However, for Fernando de Le Monnier, beyond the format, the important thing is to find out how technology can improve the interaction of an event, since for him “an event has to be a dynamic that generates engagement” and that, in addition to interacting at the level of being able to ask questions remotely, there must also be the possibility of sharing knowledge.

Events as a source of data and knowledge

Everyone talks about the importance of data and measuring results, but do companies really pay attention to the reports? On this issue there seems to be quite a lot of awareness among everyone “no one looks at each other or analyzes anything”. Although they are asked to make developments to capture a specific data or, they are asked that the options to measure the votes are active, in the end they do not download the report or ask for the results.

The most requested data is the tracking, which is the time that each attendee has been connected while watching the streaming.

Integration of technology in the organizational process

There is still a great lack of knowledge on the part of agencies and clients about what technology can offer to events, which is probably why, in most cases, technology integration is only applied during the event.

In this sense, we are talking about the use of an application that, among other things, allows them to register attendees and keep track of attendance, upload the program, etc. But beyond during the event, it is rare that the client uses the app prior to the event or for continuity. However, Alex from Eventscase says that, increasingly, they find that in briefings clients ask them (even if superficially and poorly defined) how they want technology and digitization to be present in certain aspects of the event.

Immersive gastronomic experiences at trade fairs

The picapica of the fairs is advancing, seeking to make the attendee live an unforgettable gastronomic experience beyond the fact of eating. To inspire you in your next fair or event we bring you two different and original gastronomic experiences: one we saw at the Salón Gourmets held at IFEMA MADRID and another one you can enjoy at IMEX Frankfurt at the end of the month.

They have caught our attention for enhancing other senses (besides taste) and conveying brand messages in a more complete way, all through immersive technology.

Tasting and traveling to Galicia at Salón Gourmets

Xuntos, Saborea Galicia presented the “Xuntos 360º Experience”, a sensory and immersive tasting that surprised visitors to the Salón Gourmets at IFEMA MADRID, taking them to the rural environment and the origin of the Galician products that they tasted in situ. Xuntos is a group of five Galician companies with the aim of promoting the gastronomic heritage of Galicia, both nationally and internationally. They will continue with this experience in other fairs due to the positive feedback they have received.

The aim is to offer a differential organoleptic proposal to enhance the user experience”.

Through virtual reality glasses they tasted the products while they traveled and learned more about their history: the Los Peperetes cannery in the Arousa estuary; to the Discarlux beef facilities; to the Airas Moniz cheese factory and meadows; and to the Pazo de la Cuesta and Pazo de Rubianes wineries, with their spectacular natural surroundings.

At IMEX Frankfurt chocolates with virtual reality

Catalunya, Mobile World Capital Barcelona and the Roca Brothers present “a phygital gastronomic experience” at IMEX Frankfurt. “Taste the technology” will be presented at the Catalonia stand at IMEX Frankfurt and is part of the “Feel the Technology” project, an initiative of Mobile World Capital Barcelona presented for the first time at MWC Barcelona 2023 that we told you about here.

Attendees will be able to taste a chocolate bonbon with acid flavor (lime and passion fruit ganache) created by the Roca Brothers and their Bean-to-Bar Casa Cacao chocolate shop in a scenario where digital and physical (phygital) reality converge. The latter marks the beginning of a digital journey, led by the master chocolatier of Celler de Can Roca (Damian Alsop), with virtual reality glasses that combine AR and VR. In total, 1,000 chocolates will be produced for this experience.

If you don’t measure your carbon footprint, how are you going to reduce it? The Conventa case

Once again Conventa gives us a small lesson in responsible management in terms of event sustainability. In partnership with Climate Partner and through a holistic management of all the processes involved in the realization of the fair, they managed not only to accurately measure the impact of the carbon footprint, but also to identify the high CO2 cost of transportation, which allowed them to reduce the impact by 8.9% compared to the 2022 edition. Not much of a joke, considering that the carbon footprint of this international event is comparable to that generated daily by 5,415 inhabitants of Germany and to traveling 387,129 kilometers by car, according to the organization’s own data. These are some of the lessons learned during the process.

Incorporates partners in the event design and measurement processes.

The calculation of the carbon footprint covers a broad spectrum of emissions. This year, the organizers made a great effort to collect data with the help of 19 partners. Gorazd Čad, co-founder of Conventa, noted, “The timely inclusion of partners in the carbon footprint reduction process was a must. A crucial tool for measuring the carbon footprint was our Green Manual, which has become something of a bible for sustainable event organization, as it offers a whole host of tips and practical measures. Every year we are able to achieve more with the help of the project partners, with whom we are gradually learning how to collect all the data to calculate the carbon footprint.”

Uses the data obtained for the optimization of subsequent events.

According to the organizers, the calculated carbon footprint can become an example for similar events. It will also enable Conventa to optimize future activities. In order to calculate the carbon footprint, it was crucial to collect accurate information on the transportation of attendees, hotels and activities.

This year’s calculation includes individual data from all attendees obtained through surveys. Thus, all measured data are accurate and reliable.

Identifies the most polluting activities and works to reduce the impact of these activities.

The organizers stressed that calculating the carbon footprint is only the beginning. The main objective of the calculation is to identify the activities that generate the most greenhouse gas emissions. Other steps and measures explained in the Green Conventa Manual are fundamental and are a practical guide for all event organizers and in brief, it comprises:

SUSTAINABLE CRITERIA: external recommendations for partners and subcontractors covering 15 segments of the event organization. Currently, the segments include 266 criteria.

SUSTAINABLE MEASURES: detailed annual measures that event organizers should implement and internal suggestions that will help event organizers prepare an action plan in seven segments.

Gorazd Čad explained the sustainable aspirations of the event: “A prerequisite for a sustainable transformation is a systematic approach, connecting all stakeholders and coordinating activities. To transform events in a sustainable way, organizers must make a transparent commitment, identify targets, measure their results and cooperate extensively. When organizing sustainable events, organizers must take a holistic approach and consider all aspects of an event. Above all, it is crucial to measure the carbon footprint of an event. If we don’t measure it, we can’t improve it.

Events as loudspeakers of change

Conventa is a great example of how events are part of the problem, but can also be part of the solution: the organizers stressed that Conventa is a facilitator and driver of change in the meetings sector in Ljubljana and the region.

It fosters positive development and is an ideal test laboratory for innovation to achieve sustainable and regenerative transformation. 4 legacy tools to work on sustainability at destination

How do you leave the city where an event is held better than it was before the event took place?

This question is increasingly being asked by event organizers, whose awareness of sustainability is constantly growing. Here are four perfect tools to get you started in legacy and make a positive impact on the site.

As we explained in our last magazine, generating legacy in the destination is one of the main challenges for event organizers today. Although it will not be an easy task, it is true that more and more tools in the form of associations, organizations or foundations are being made available to convention bureaus to work on it. Here are some examples of tools you can use to make your events leave a legacy at the destination.

#MEET4IMPACT

As destinations become more aware of the impact of the legacy, new organizations have emerged to accompany them on their journey. This is the case with the non-profit #MEET4IMPACT, a collaborative project designed with the vision of transforming the events industry. This will be achieved by generating a movement to create a positive impact with its actors and events. Its mission is to help organizations and communities define, manage, measure, communicate and maximize positive social impact through events.

Flanders has already benefited from their support: its convention bureau is working with the organization to develop a strategy for legacy creation and impact measurement, with which they will try to guide the region’s events agenda over the next two years. Their fields of expertise will be the starting point of a conference roadmap with broader legacies and concrete impacts, working on four specific event cases.

GDS

Sustainability “seeks to mitigate the negative effects that our activity generates on people and the planet,” says GDS Senior Changemaker, Impact &Events, Beatriz Ibáñez. Ibanez’s company’s acronym refers to the Global Destination Sustainability Movement, the platform specializing in identifying or helping to create “thriving places and communities enabled by tourism and regenerative events.”

From this movement, they annually launch one of the most important global rankings on sustainability, in which the 30 most experienced cities in this area are evaluated: the GDS-Index. Of the three categories in which destinations are awarded, one Spanish city is in the top three in the ranking of destinations that have improved the most with respect to previous editions in 2022, winning the bronze medal: Barcelona.

The development of this index uses a methodology based on 70 criteria, both qualitative and quantitative, which evaluates four key areas of each destination’s sustainable performance: the city’s environmental strategy and infrastructure, its social sustainability performance, support for industry suppliers, and the destination’s management organization strategy and initiatives.

Ship2B

The Ship2B Foundation is another great initiative that has emerged in the quest to generate legacy, although in its case, working from the companies at the destination. Their mission is to drive the impact economy: they seek to promote change, inspire, generate knowledge and valuable connections through the Ship2B Impact Forum. This annual event – which in its last edition was attended by more than 400 business leaders, investors and administrations – seeks to drive an impact economy where businesses, in addition to being profitable, contribute intentionally and measurably to solving societal and planetary challenges.

In addition to providing information on how to organize a sustainable event, countries and cities can have their own tools to monitor the sustainability level of events. 4,000 people discover the metaverse at the Meta World Congress in Madrid

The first congress in Spain on metaverse, web 3.0, Virtual Reality and Augmented Reality makes it clear that the virtual is still going strong and that those of us who are dedicated to events cannot lose sight of it and must be alert to new developments (even if the face to face triumphs …). We are talking about a congress with 100 collaborating brands, 70 exhibitors, 150 speakers, more than 750,000 impacts on social networks and 4,000 people who visited La Nave de Madrid on March 31 and April 1, according to the organizers. Meta World Congress has been organized by Grupo Oneway, Nanook and Metaverso.pro, with the support of the Madrid City Council. It also had a virtual version and was experienced simultaneously in 6 virtual spaces of Uttopion, Legendaryum, Xave World, Evveland, Hospiland and Parqueland.

In addition, in the auditorium and the multipurpose room of La Nave, attendees could enjoy “tables and presentations on eSports, gaming, training to work in the sector, fashion, influencers, film, entertainment, fitness or new trends and devices, among others,” according to the organizers.

It had a large exhibition area and immersive activities related to the sector where brands such as Outer Ring, blockchain metaverse video game by Nexxyo Labs, Crypto Plaza, the largest Crypto, DeFi and Blockchain community in southern Europe, or Belobaba, one of the most important banks in web3, Bitlab, the largest educational center in web3 among others, were present.

Recognized speakers

Pe were able to attend the talk given by Marc Vidal, disseminator on digital transformation and economic analysis, together with Davo Ruíz, CEO of Oneway Group and Santiago Álvarez, CEO of Metaverso.pro both co-directors of Meta World Congress.

Marc Vidal stressed that “artificial intelligence is not going to do away with humanity, it is a technological tool for massive data management” and that “people who ask good questions will get good answers”.

In the panel “Metaverse: the future ahead” Javier Aparicio from Uttopion, Hernan Portugal from Xave World, Ariel Burd from Legendaryum, Ivo Cadenas from Evveland, Alfredo López from Hospiland and Rubén Peña from Parqueland discussed what will be the biggest impact of the metaverse on people’s daily lives in the future, an important topic.

Gaming and sports, also present

Gaming and sports have also been present at the congress, collaborating with BeFootball, with a stand in the form of a theme park where immersive technologies have made attendees live and feel soccer in a whole new way. Together with PadelTok, a platform that integrates all the services and products that a padel player needs, from amateur to professional in the Padel Island. All these collaborators have shown the attendees a new dimension of the sport, with which they have been able to have fun and enjoy themselves in a different way.
