ADP Summer Party Cuban

Family Day · Villa Bugatti, Barcelona · 2022

Summer party for the ADP Spain team and families at Villa Bugatti, Barcelona. Cuban thematic concept for an outdoor summer day.

The challenge

Turn a working day into a celebration the team still remembers on Monday.

The commercial kick-off has a structural problem: it moves too quickly from the PowerPoint to the dinner, and the transition forces the attendee to sustain professional mode when they have no charge left. ADP had identified that dead spot in prior events. The sales force was arriving at dessert before having loosened their shoulder pads.

The challenge was twofold: maintain the rigour of a half-day corporate meeting with impeccable catering protocol, dietary accessibility, and audiovisual projection — and then, without interruption, open a second act at a different location, with a different language, different dress, and a different emotional temperature, without anyone feeling the change as an imposition. The standard hotel-all-day format did not work. The two universes needed to be physically separated and an operational bridge built that was invisible to the guest.

Bacus's response

Two venues, one day, no gap between work and the party.

Bacus designed the day as a single piece in two acts. The morning was set up at the Novotel Barcelona Diagonal in theatre format, with a coffee break in the foyer and a lunch buffet in the hotel restaurant: screen, short stage, three wired microphones, resident technician. The heavy briefing, figures presentation, and internal dynamics ran through to early afternoon without overloading the attendee.

Between 19:00 and 19:45, three 55-seat coaches transferred the one hundred and fifty attendees from the ADP offices on Carrer de Ciutat de Granada to Villabugatti in Argentona. The Catalan farmhouse was dressed as Havana. Welcome drink in the courtyard with a DJ, photocall with a personalised backdrop from the internal Digital Sales Playing to Win campaign and a red carpet, Cuban props distributed through the space, balloons in the backdrop colours, candles and table centrepieces for the buffet stations.

The cocktail dinner was served standing, with no assigned seating protocol, so the group could circulate freely. At 22:00 a thirty-minute salsa workshop began, led by an MC with a translator for the international team. After that, a five-piece salsa band with dancers played ninety minutes live, and the DJ linked through to close. Open bar from the aperitif onward. At 00:30 the three coaches returned the team to the drop-off point. Thirty-two kilowatts of sound and lighting inside the main barn, Bacus team on every transition.

The experience

The commercial team arrives from a meeting and ends up dancing salsa live.

The attendee experienced two events in one day without feeling like they had attended two events. The morning gave back the fiscal year information they needed in a clean professional environment. The evening took them out of corporate mode progressively — first with the group coach journey, then with the landscape changing to the countryside, finally with the Havana props rewriting the dress code and body language.

The live band operated as a catalyst. The thirty-minute workshop lowered the group's guard, and from the first song of the band the dance floor did not empty until close. The open bar worked without queues because it was positioned at the edge of the dance zone, not opposite it. Colleagues who do not cross paths in the office because they work in different offices found each other on the dance floor, at the photocall, and in the queue for the return coach.

The result

An internal event the commercial force marked in the calendar again.

ADP repeated the format with Bacus the following year and maintains the relationship for subsequent corporate events. The physical separation between the meeting and the party stopped being debated internally as a logistical risk and became integrated as a defining feature of the event.

The programme was documented as an internal reference for the Bacus model for international sales kick-offs with day and night at separate venues under a single production thread.

Frequently asked questions · ADP Summer Party Cuban

What readers ask after this case.

  • The day is designed as a single piece with two specialised venues. The daytime meeting needs an urban hotel with equipped rooms, office catering, and working AV projection. The evening needs a venue with its own character, capacity for a standing cocktail, a stage for a live band, and a separate dance zone. The critical link is the transfer between the two, sized to bring the full assembly to the second act simultaneously. Bacus operates both spaces with the same production team so the client does not have to coordinate two suppliers or two schedules.

  • The criterion is threefold: capacity for 150–200 standing guests with a circulating cocktail, sufficient electrical power for a five-piece band plus DJ and party lighting rig, and an architectural envelope that admits the Havana transformation without the decoration having to cover up the space. Renovated farmhouses in the metropolitan area such as Villabugatti in Argentona meet all three requirements and add an outdoor zone for welcome drinks and the photocall. The distance from central Barcelona requires planning transfers, but it protects the party from urban noise and allows extending hours without residential restrictions.

  • It works in two layers. The general menu layer carries physical allergen labelling on each tray with standard icons and declared composition. The specific layer is set up as dedicated service — personalised trays marked with the guest's name or a discrete code, and a member of the service team who knows the list. The client submits the restriction document before the event and Bacus cross-references it with the caterer during production. In the ADP case, allergies, intolerances, and individual vegetarian and pescatarian diets were all managed without altering the standing cocktail format.

  • Four items account for the bulk. Venues and catering, which typically represent forty to fifty per cent of the total when working with two locations. Audiovisual production, scenography, and themed props, which in a party with a defined creative concept represent fifteen to twenty per cent. Transfer logistics, which at a mixed urban and peri-urban event can reach ten per cent. And live entertainment — band and DJ — between eight and twelve per cent. The remainder covers production coordination, floral decoration, signage, and event staff.
